What this Privacy Notice covers

Your privacy is very important to Breckland District Council.

Your data will be processed by Breckland appointed contractors if additional services are required, e.g. property remedial maintenance.

Why we need your personal data

Your information will be used to process property enquiries and related property agreements.  The legal basis for processing your data is Article 6.1 (b) of the General Data Protection Regulations as it is required for the performance of a contract or for initial enquiries under Article 6.1 (a) of the General Data Protection Regulations by consent.

How your data is used

We need to process the personal information of commercial tenants in order to review your application for a commercial tenancy and to manage your tenancy. This could include the following processes:

  • to deal with your initial property related enquiry
  • reviewing tenancy applications and completing a credit check
  • managing tenancy
  • rent collection and invoicing
  • utilities and insurance administration.

We may pass your information to other agencies or organisations such as debt enforcement agencies, as allowed by law.

We may check information you have provided or information about you that someone else has provided, with other information we hold. Sources of information include landlords, letting agents, estate agents and other Councils.

We may share information with other organisations such as Citizens Advice, where we have your consent and it is in your interest.

We will not disclose your personal information to third parties for marketing or sales purposes or for any commercial use, and we will not use your personal data in a way which may cause you harm.

How long the information is kept for

Following the end of your tenancy we will keep the information for the period of 6+1 years for audit purposes under Limitation Act 1980 (section 2). Other personal details relating to enquiries shall be deleted within 1 week or for ongoing enquiries after a period of 1 month following a request to no longer be contacted.
